When I started working with this client, their operations were held together by workarounds. Invoicing was manual, payroll required multiple handoffs between disconnected tools, project timelines lived in spreadsheets that no one fully trusted, and there was no single place for leadership to see what was happening across the business. As the team grew, the gaps got wider.
I architected a complete operational system from the ground up, connecting Airtable, Slack, Harvest, Gusto, and Google Workspace into one cohesive ecosystem. The system handles project tracking, invoicing, payroll, client management, and deadline notifications—all flowing automatically between tools. I built process documentation, created staff onboarding materials, and set up real-time dashboards so leadership could see project status, financial data, and team capacity at a glance.
Five years later, I still maintain and evolve the system as the company's needs change. What started as a boot-up engagement became a long-term partnership—the system has scaled with them through new hires, new clients, and new service lines without needing to be rebuilt.

I built a clean, intuitive Airtable base designed around how they actually work. It included a centralized client tracker with full project history, a timeline view with milestone notifications so nothing got missed, and a built-in invoicing record that replaced their manual tracking. The system gave them full visibility across every active project and created a lightweight CRM for maintaining client relationships over time.
The build was intentionally simple — designed to be sustainable for one person without requiring technical upkeep. I provided a full walkthrough and visual guide so they could manage it independently, and remained available for ongoing support as their business grew.

When I came on, the agency was running on a patchwork of personal spreadsheets, shared Google Docs, and institutional knowledge that lived in people's heads. There was no central system for tracking contracts, submissions, client relationships, or project status. Team members were duplicating work, key information was getting lost between tools, and onboarding a new hire meant weeks of shadowing just to understand where things lived.
I designed and built a multi-base Airtable system of 12 interconnected databases, 20,000+ records that centralized the agency's core operations into one searchable, navigable platform. The system integrated with Slack for real-time notifications and automated workflows, and with Google Drive for organized file access. I created tailored views for each team member's role, built dashboards for tracking submissions and editor relationships, and developed a layer of embedded industry intelligence that preserved strategic knowledge the agency had been accumulating informally for years.
Every team member received hands-on training and role-specific documentation. The system continues to evolve. I've supported and iterated on it for over three years as the agency's needs have grown.
